1. Introduction

PQ Solutions respects the privacy of clients, potential clients, website visitors and other persons whose personal data is processed. We process as little data as possible, and only where necessary to assess or perform your request.

This privacy statement explains which data we may process, why, on what legal basis, with whom we may share data and which rights you have.

2. Which personal data we process

For an initial request through the form on this website we only ask for the following:

  • Name
  • Telephone number and/or email address
  • Description of the request
  • Optional: preferred date or time

At first contact we do not ask for passport information, date of birth, financial information, bank details, a full address, identity documents or sensitive personal data. We only request additional data where this is genuinely necessary for a specific service and a lawful basis for processing exists.

Once an assignment is accepted, we may additionally process data required for performance, such as locations, vehicle details, travel details, contact persons, invoicing details and correspondence.

3. Purposes of processing

We may process personal data for:

  • Responding to enquiries
  • Assessing requests
  • Providing quotations
  • Entering into agreements
  • Performing agreed services
  • Communication with clients
  • Administration
  • Invoicing
  • Legal obligations
  • Fraud prevention and security where legally permitted
  • Handling complaints
  • Defending legal claims
  • Improving our services and website functionality

4. Legal basis

We process personal data on one or more lawful bases under the GDPR/AVG, depending on the situation:

  • Performance of a contract
  • Taking steps at your request before entering into a contract
  • A legal obligation
  • A legitimate interest
  • Your consent, where consent is actually required

Not every processing activity requires consent. Where a processing activity does rest on consent, you may withdraw that consent at any time.

5. Special category data

PQ Solutions does not intentionally request special categories of personal data, such as data concerning health, religion or political opinions, through the standard enquiry form.

If you voluntarily provide sensitive information, we will assess whether it is necessary and lawful to process it. We ask you not to submit unnecessary sensitive information through the website.

6. Sharing data

We may share personal data with carefully selected service providers or partners, only where necessary to fulfil an agreed request. For example:

  • Transport providers
  • Chauffeurs
  • Travel providers
  • Logistics providers
  • Professional suppliers
  • IT and hosting providers
  • Payment providers
  • Legal or accounting advisers
  • Authorities where legally required

PQ Solutions does not sell personal data. We share only the information necessary for the relevant purpose and, where appropriate, make contractual arrangements with processors and suppliers.

7. International transfers

Because requests may involve other countries, personal data may in certain circumstances be processed outside the Netherlands or the European Economic Area, for example where an assignment involves a journey, trip or supplier abroad.

Any such transfer only takes place in accordance with applicable GDPR requirements and with appropriate safeguards.

8. Retention

We retain personal data only for as long as necessary for the purpose for which it was collected, for contractual administration, for legal obligations, for dispute resolution and for legitimate business purposes.

Specific retention periods are determined per category in a retention schedule and can be explained on request. Statutory retention obligations, such as tax administration requirements, continue to apply.

9. Security

PQ Solutions takes appropriate technical and organisational measures to protect personal data against unauthorised access, loss, destruction, unauthorised disclosure and unauthorised alteration. We do not disclose the specific details of our security arrangements.

10. Your privacy rights

Where applicable, you have the following rights:

  • Right of access
  • Right to rectification
  • Right to erasure
  • Right to restriction of processing
  • Right to object
  • Right to data portability
  • Right to withdraw consent where processing is based on consent
  • Rights concerning automated decision-making, where applicable

You can exercise your rights via info@pqsolutions.online or by telephone on +31 30 26 000 86. We may ask for additional information to establish your identity, solely to prevent data being provided to the wrong person.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
